This week's activities have been led predominantly with conversations around next year's International Year of the Secretary. We are going to work really hard next year to change the world of the Assistant across the world but we need your help. We had a flood of offers to get involved from individuals, businesses, associations and trainers following our request for volunteers last week.
So this week has seen exciting meetings with the hub in South Africa, with associations all over the world and with some of the world's top trainers and training companies. Watch this space for announcements that will shortly be coming thick and fast! We want as many of you involved as possible so if you haven't contacted me yet, please shout loudly! WHEN IN ROME

Well not Rome actually - Milan, but you get the idea. It was a privilege to spend time with the MACSE Assistants in Milan last weekend. As part of their annual congress, I was there to present those that have invested in their own personal development and completed their qualifications, with their well deserved diplomas. Italy is one of many countries that I work with where the Assistants need to work really hard for investment in their training and for recognition. With a statistic of only 48% of women working in Italy, the battle to change the perception of the role is more difficult for our Italian colleagues than many of the rest of us.
I applaud the Association members' commitment to their own development. When I see Assistants in countries with the tide against them, fighting so hard to get the education and recognition they deserve it serves as a reminder to those of us that get it offered to us on a plate that it is not something to be taken for granted. Grab the opportunity with both hands!

A slightly different slant this week for you. Here are four websites, all with amazing free resources for Assistants.

The first is from the wonderful Chrissy Scivicque (pronounced “Civic”) is an award-winning writer, certified career coach and experienced corporate trainer. I met Chrissy in the States recently and was hugely impressed with not only her breadth of knowledge but with her passion for what she does. Her website - Eat Your Career is full of exceptional content. Grab free worksheets, audio sessions, video trainings and more for the sweet price of zip, zero, zilch. No catch. Free. Really.

Our second resource this week is www.allthingsadmin.com. If you follow our weekly Twitter chat, #adminchat on a weekly basis, or are a subscriber to the magazine, you will already know and love our Queen of Procedures, Julie Perrine. Her website is a mine of information and her templates for everything from an administrative procedures binder to travel procedures to a job responsibilities template are absolutely second to none.
Thirdly, we'd like to introduce you to www.bookboon.com where you can download FREE eBooks and textbooks.

In 2004, while studying for their B.Sc. and M.Sc. at Copenhagen Business School, Kristian Buus Madsen and his brother Thomas came up with the idea of free textbooks. They are second generation publishers and were convinced it should be possible to offer free education material to both students and business professionals. This is where bookboon.com came into being: the concept was launched in Denmark in 2005 and the global website was launched in 2008.
Bookboon's eBooks help the reader become more efficient in his or her workplace. The books cover business relevant themes like persuasive communication, time management, project management, and many other areas within personal development, as well as practical books on Microsoft Office, social media. Adobe and similar.

The books are about 50 pages long and they are tailored to be read in two or three hours, which is the available time a reader has on a flight, a train journey, an evening in a hotel or at home after the kids are put to bed. The books have a hands-on approach: you can read them today and use them tomorrow.

And finally, new kid on the block http://pa-prive.com. We have been really impressed by the quality of the articles and information coming out of this new resource. They seem to be doing a great balancing act with aggregating interesting information and producing their own original posts.

E' un problema di età, di soldi o di paura di non sapere gestire le persone sicure di sé?


Chi segue questo blog da un po' sa che io adoro fare esperimenti.

L'ultimo è stato monitorare il mio profilo contemporaneamente ad altri di colleghe più giovani con circa le mie stesse competenze, ma meno anni di esperienza e meno titoli di studio.

Il risultato è stato che uno di questi profili junior, con il mio stesso background ha ricevuto negli ultimi mesi 3 proposte di lavoro sia in Italia che all'estero.

La sottoscritta invece non è mai stata neanche contattata.

Sono troppo vecchia?

Qualcuno pensa che io costi troppo? a priori, visto che non dichiaro pubblicamente il mio stipendio.

O forse hanno paura di non essere in grado di gestire un rapporto con una persona che conosce molto bene il lavoro e che sa il fatto suo?

Si tratta comunque di discriminazione in tutti e tre i casi.

Mi consola che, anche se raramente, incontro ancora persone che la pensano diversamente, infatti per il ruolo che sto ricoprendo ora (contratto a termine) sono stata scelta grazie all'età e all'esperienza accumulata. La persona con cui lavoro cercava un'assistente che fosse autonoma, indipendente, capace di inserirsi nel contesto aziendale velocemente e che capisse le logiche e le politiche di una multinazionale.

Senza nulla togliere alle colleghe di 30 anni, queste caratteristiche si riscontrano in persona che hanno almeno 15 anni di esperienza vissuta in più contesti, possibilmente anche internazionali (se poi c’è anche un'esperienza di lavoro all'estero, ancora meglio).

In un recente scambio di mail con alcune colleghe più giovani mi sono trovata a dover discutere di alcune attività che sono alla base del lavoro dell'assistente e che a quanto pare io davo per scontate, ma così scontate non sono.

Una per tutte il fatto di dover sempre rispondere a tutte le mail che si ricevono, anche solo con un "no grazie" sia per dovere professionale che per educazione.

Il mio punto di vista è stato pesantemente contestato, sia a livello personale (pare che non sia necessario rispondere alle comunicazioni che si ricevono anche quando una risposta è chiaramente richiesta), sia a livello professionale – e a questo punto mi chiedo se i loro responsabili sono al corrente di tale comportamento.

Sono stata tacciata di non stare al passo con i tempi, in quanto attualmente non sembra più un dovere rispondere alle mail e di essere una che non ha niente da fare in ufficio, dato che trovo sempre il modo di rispondere a tutti.

Resilience & Failure

Resilience is that ineffable quality that allows some people to be knocked down by life and come back stronger than ever. Rather than letting failure overcome them and drain their resolve, they find a way to rise from the ashes. Psychologists have identified some of the factors that make someone resilient, among them a positive attitude, optimism, the ability to regulate emotions, and the ability to see failure as a form of helpful feedback. Even after a misfortune, blessed with such an outlook, resilient people are able to change course and soldier on.

Resilience is something that most people need to make it through the rougher times of life. Everyone will experiences difficulties in life, and some people will even experience traumatic events that create an upheaval in their lives.

Resilience is the process by which people adapt to changes or crises, like death, tragedy, the loss of a job, or financial problems.

Resilience is not a character trait - it can be learned by anyone, but learning it does require time and effort.

Several factors involved in resilience include having a loving support system, the ability to make plans and follow through with them, communication and problem-solving skills, having a positive view of yourself and your abilities, and the capability to manage your feelings and impulses.

Building resilience is a different process for everyone, and what works for one person may not work for another. Each person should determine what works for them and do that.

Building resilience can be a tough process. Here are a few tips for strengthening your resilience to difficult times in life:

- Maintain good relationships with your family and friends, and accept their help in times of stress. Also, getting involved in groups or associations may help give you social support when you need it.

- Try to look at the big picture of life, and avoid viewing difficult times as insurmountable. Take small steps toward your goals and take one day at a time.

- Accept that change is a part of life and come to terms with circumstances that you cannot change.

- Keep working toward your goals every day, and ask yourself "What can I do today to move in the direction I need to go?"

- Keep a positive view of yourself and your ability to solve problems.

- Maintain a positive view of life and visualize what you want.

- Notice how you have changed after a tragedy or crisis. Many people report having more confidence in themselves after a crisis and some even have a deeper appreciation for life. Get what you can out of these tough times.

- Take care of yourself! Get enough food, sleep, and exercise to keep you healthy. This is especially important during times of stress.

- Lastly, seek professional help if you feel that the situation is too hard for you to handle on your own. A counselor or psychologist, can help you develop a strategy for moving forward in your life.

The benefits of failure

People who fail repeatedly develop persistence in the face of difficulties.

Only people with extensive histories of failure could survive the difficulties that these individuals endured.

Such dogged persistence is not a universal trait, of course.

With success, people keep on doing the same thing. When they fail, they are forced to adapt and change. That is not just a human characteristic but constitutes a basic feature of how our brain works.

When one combines emotionalism with originality, that is fairly close to what most people think of as artistic creativity. Artists are not necessarily frustrated people but tend to be dissatisfied with what they have accomplished previously and try to do something better or something new.

The magical power of failure is not restricted to the arts, or to political leadership. It applies to all fields of human endeavor.

Never underestimate the magical properties of failure. It rewires the brain and gets the creative juices flowing.

So you just got fired? Don't wallow in misery. You may be the new CEO of the next biggest thing.

In every part of life—romance, work, family—stuff happens. And these disappointments can indeed set you back, make you feel anxious and fearful. In moving through the recovery process, you may likely feel a range of emotions including anger, anxiety, confusion, low self-esteem and self-doubt. These represent stages of response and cannot be rushed. But over time you will begin to feel acceptance and hopefulness. When you let go of the past, you will experience increased self-esteem and renewed optimism.

But how do you get there? Don't focus on what you lost or what didn't work.

You have to rewrite your script and see yourself differently—such as seeing yourself with another person, or at another job.

Easier said than done.

Some people flounder in frustration and blame after a disappointment. Worse, some people fall into deep depression. But then again others bounce back quickly and with energy. While you can argue that these people may well be born more resilient, resilience can certainly be learned. Practice and experience help.

Most successful people have had their hard knocks, but they recover and move on. They, in fact, see disappointment as a prospect for something new. Big losses provide the biggest opportunities for change, they make a person more open to trying new things.

Here are a few tips to learn how you can become more resilient and overcome life's big disappointments:

Accept the setback. Know that setbacks happen to everyone. And realize that you may never understand what happened.

Face your fears. It's normal to feel insecure, but don't cower and avoid uncertainty.

Be patient. Reflect and think about what you plan to do; but don't rush, it will only aggravate the process.

Go beyond your comfort zone. Take risks. Go after that job you think you can't do, doing so will build self-esteem and resilience.

Find your hero. Think about people who have survived adversity, use them as your role models.

Know what you want. If you have goals, it's easier to make plans and move forward.

Be a problem-solver. Don't be the victim, instead learn to behave proactively.

One step at a time. To move forward, the enormity of the task (such as finding a new job after a lay-off) may seem insurmountable. Focus on each step you must take, not the entire undertaking.

Seek support. Talk to friends, family or a therapist.

Be kind to yourself. Disappointments are a source of stress, so exercise, eat right and get rest.

Perchè far parte di MACSE Italia


Quest’anno sono Manager Assistant esattamente da 20 anni.

In venti anni e molte esperienze in aziende diversissime tra loro ho avuto rare opportunità di trovare e seguire corsi di formazione progettati e studiati in modo specifico per il ruolo, non parliamo di programmi di mentoring e incontri di networking.

Mi sono sempre sentita molto sola e in una specie di isolamento ovattato di cui nessuno parlava, spesso tenuta a distanza per via degli stretti contatti con il capo a volte “ricercata” come via facilitatrice alla sua benevolenza. Cominciavo a sentirmi una sorta di “isola” lontana da tutti.

Quando questa situazione diventò intollerabile, cominciai a cercare altre colleghe. Con mia grande sorpresa e sgomento trovarle era quasi impossibile ed anche se era evidente che c’erano molte altre "isole” là fuori, stava solo a me trovarle.

In breve diventò la mia missione trovare e mettere in contatto queste persone speciali e fornire loro un mezzo tramite cui potessero sostenersi a vicenda e lavorare insieme per diventare eccellenti nel loro ruolo cruciale di assistenti.

MACSE Italia è nata nei primi mesi del 2010 e continua a crescere ogni anno con nuove associate.

In più abbiamo un network di “followers” di circa 2500 assistenti che ricevono la nostra newsletter e fanno parte del nostro gruppo su LinkedIn – Manager Assistant Career & Skills Empowerment.

Questo grande successo è dovuto ai valori fondamentali che sono alla base dell’associazione e alla promessa di costruire finalmente qualcosa di speciale - un'organizzazione dedicata alle esigenze e alle necessità delle Manager Assistant basata sulla condivisione, sul rispetto e sull’integrità, qualità che fanno la differenza, lasciando inevitabilmente un'impronta su ognuna delle associate.

Le ragioni per cui si deve rispondere sempre alle mail ricevute.


Sembra che ci sia una nuova moda che sta dilagando, trovando sempre più adesioni tra le persone che conosco.

Non sto parlando di fashion e nemmeno di cucina, ma di comunicazione, una delle parole più usate e abusate degli ultimi anni. Tutti vogliono occuparsene, tutti sono comunicatori, tutti sono affiancati nella loro quotidianità da tecnologie che dovrebbero facilitarla. Dal mio punto di vista, pochi sono quelli che sanno davvero comunicare e sempre più spesso, dato che tutti invece pensano di saperlo fare, si ottiene il risultato opposto: non si comunica. Tutto ciò ha aperto la strada a una nuova moda che spero sia solo una moda passeggera e che, secondo quanto elencato ne “I nostri valori” http://www.macseitalia.it/whos/mission_vision.asp esula da comportamenti professionali:

NON RISPONDERE ALLE MAIL

Ogni giorno, in Italia girano più di 350 mln di mail. Un’infinità. E’ come se ognuno di noi, compreso chi la mail non la usa, i bambini e gli analfabeti digitali, ne spedisse sei al giorno. Io per lavoro ne spedisco almeno 50, e per ragioni personali almeno un paio.

Vi sono però diversi tipi di mail: quelle di lavoro, con importanti allegati, dati specifici, elementi spesso fondamentali per svolgere quotidianamente la propria professione. Poi ci sono quelle personali, con inviti semiufficiali a feste o matrimoni, auguri di Natale e ricorrenze, lettere d’amore o dichiarazioni d’odio, resoconti sull’ultimo museo visto o la prossima vacanza progettata. Infine quelle pubblicitarie, spam e phishing che intasano la nostra casella.

Tra queste 350 milioni di mail vi sono anche mail con richieste specifiche. Mail dalle quali ci si aspetta una risposta, spesso importante. Si tratta di mail inviate generalmente a persone che si conoscono e per le quali ci si aspetta un riscontro.

Sono però mail che spesso non sono lette e cui non segue una risposta, anche quando la richiesta di rispondere è esplicita. (Vi prego di rispondermi, anche con un semplice NO, per consentirmi di procedere con qualche eventuale altro interlocutore).

All’inizio non ricevendo risposta ho pensato che chi sta dall’altra parte, chi le riceve e poi non risponde, forse non si è mai trovato nei panni di chi propone, di chi cerca di accendere dell’interesse su argomenti specifici e dedicati a chi riceve la comunicazione (non mando mai mail che non siano targettizzate).

Poi, mentre io perdevo tempo e risorse, i miei progetti si bloccavano e fallivano ho cominciato a pensare che le mie mail fossero ferme da qualche parte, in un recipiente intasato per noncuranza o che ci fosse una totale mancanza di curiosità intellettuale da parte del ricevente. E mi sono chiesta a cosa serva la tecnologia e tutti gli strumenti che oggi abbiamo per poterle leggere in qualsiasi punto ci si trovi. Più si moltiplicano questi supporti, più riscontro una difficoltà a comunicare attraverso questo (ancora straordinario) strumento.

Ogni volta che ho un’idea per migliorare e accrescere le nostre competenze, la studio, la butto giù sotto forma di progetto e la invio, nella speranza di ottenere un riscontro, cosa ottengo? Il nulla, la non risposta.

Ora mi chiedo, anzi vi chiedo. Anche voi vi sentite vittime di questo buco nero? E se invece ne foste gli artefici, potreste spiegarmi perché lo fate, o meglio, potreste suggerirmi come procedere? Magari è solo una questione di forma.

Noi di MACSE Italia oltre che alla sostanza, teniamo molto anche alla forma, perché è l’educazione che ci distingue dagli animali, è la tanto maltrattata “forma” che ci permette di vivere in un modo ancora civile.

Se non rispettassimo la “forma”, ci troveremmo in breve tempo senza regole e nell’anarchia totale.

Le mie regole:

Rispondere sempre alla prima mail che ricevo, anche solo con un semplice sì o un no, grazie.

Perchè?

1.      Non si può mai sapere a priori cosa ci viene proposto.

2.      Leggerla e ragionarci sopra, formulando una risposta ci può aprire orizzonti  sconosciuti.

3.      Ogni momento della nostra giornata può offrirci interessanti opportunità di crescita e perderne anche solo una sarebbe un vero peccato.

4.      E’ semplicemente buona educazione.

Resilienza, la "parola" di moda da quest'anno o una vera e propria capacità?


Il termine "resilienza" proviene dalla metallurgia: indica, nella tecnologia metallurgica, la capacità di un metallo di resistere alle forze che vi vengono applicate.

Per un metallo la resilienza rappresenta il contrario della fragilità.

In ambito psicologico la persona resiliente è l’opposto di una facilmente vulnerabile.

Etimologicamente “resilienza” deriva dal latino "resalio", iterativo di "salio".

Si può pensare a un collegamento tra il significato di "resalio", che ha tra i suoi significati anche l’azione di risalire sull’imbarcazione capovolta dalla forza del mare, e l’attuale utilizzo in campo psicologico: entrambi i termini indicano l’atteggiamento di andare avanti senza arrendersi, nonostante le difficoltà.


Quindi la resilienza psicologica è la capacità di persistere nel perseguire obiettivi sfidanti, fronteggiando in maniera efficace le difficoltà e gli altri eventi negativi riorganizzando positivamente la propria vita dinanzi alle difficoltà.

La persona resiliente presenta una serie di caratteristiche psicologiche inconfondibili:

·         è ottimista e tende a "leggere" gli eventi negativi come momentanei e circoscritti;

·         ritiene di possedere un ampio margine di controllo sulla propria vita e sull’ambiente che lo circonda;

·         è fortemente motivata a raggiungere gli obiettivi che si è prefissata;

·         tende a vedere i cambiamenti come una sfida e come un’opportunità, piuttosto che come una minaccia;

·         di fronte a sconfitte e frustrazioni è capace di non perdere comunque la speranza;

·         ha infine la  capacità di ricostruirsi restando sensibile alle opportunità positive che la vita offre, senza perdere la propria umanità e raggiungendo tuttavia mete importanti.
 

La resilienza è quindi la capacità che ci permette di perseguire i nostri obiettivi nonostante i continui “no”, le sconfitte, e gli inevitabili contrattempi della vita.

E’ la forza interiore che ci fa rialzare per la centesima volta, consapevoli che prima o poi raggiungeremo il nostro obiettivo, che ci permette di ristrutturare i fallimenti, considerandoli inevitabili tappe verso il successo.

Insomma, la resilienza viene durante e dopo i tuoi obiettivi: durante, quando devi attingere a tutte le tue risorse fisiche e mentali per fare quell’ultimo miglio che ti divide dal traguardo, dopo, quando devi affrontare una momentanea sconfitta, dimostrando di essere in grado di risollevarti.

La formazione on-line è utile?

I corsi on-line, hanno guadagnato enorme popolarità negli ultimi anni e in un prossimo futuro saranno sempre di più un’opportunità interessante in quanto questa tipologia di corsi può essere un modo, per chi cerca lavoro, per migliorare le competenze esistenti o imparare nuove abilità a costi accessibili. Inoltre questi corsi possono diventare un diversivo interessante per chi è alla ricerca di un lavoro, compito monotono, noioso e spesso frustrante.

Le lezioni online sono immediatamente disponibili a chiunque disponga di un personal computer, di un collegamento Internet veloce e di un po' di tempo a disposizione. Come già detto, i costi sono più che accessibili e, a volte, se ne possono trovare alcuni offerti gratuitamente. La ragione dei costi contenuti deriva dal fatto che questi corsi hanno spesso centinaia di partecipanti, e quindi non c'è la necessità di applicare tariffe come quelle dei corsi seguiti di persona che prevedono un numero massimo di iscritti, il costo dell’aula e del materiale didattico oltre che del formatore.

Sono quindi un ottimo modo e anche economico per imparare nuove abilità o rinfrescare le competenze esistenti e rendere più interessante per il mercato del lavoro il nostro curriculum vitae.

Cosa si può imparare?

I corsi coprono una vasta gamma di argomenti. Il formato on-line si presta bene a competenze tecniche, ma sono trattate anche una serie di tematiche legate alle “soft skills”.

La durata dei corsi varia, ma la maggior parte sono almeno un paio di sessioni dedicate a  un particolare argomento. Spesso agli studenti viene chiesto di completare un progetto in modo indipendente e alla fine viene rilasciato un certificato ma solamente se si completano tutte le assegnazioni e si seguono tutti i moduli in un periodo di tempo definito.

I formatori sono sempre qualificati e possono essere professionisti che lavorano in uno specifico ambito oppure relatori che hanno fatto della formazione il loro lavoro principale.

Sono sempre disponibili le biografie dei docenti e un riepilogo del corso che spiega sinteticamente cosa si va ad apprendere.

Perchè seguire un corso on-line?

Il mercato del lavoro è sempre più competitivo, e avere una base di competenze e conoscenze più ampia può fare la differenza tra voi e un altro candidato. Inoltre, il datore di lavoro può guardare con favore a un candidato che ha dimostrato iniziativa nell’acquisire nuove competenze nel corso di un periodo di disoccupazione o in preparazione di una transizione di carriera.

Infine, molti corsi on-line offrono opportunità di networking con gli altri studenti attraverso forum dedicati.
