Il percorso di carriera di una Manager Assistant: suggerimenti su come crescere e cambiare

A volte il cambiamento può essere una buona cosa, soprattutto se è un stimolo a un interessante sviluppo di carriera.

Se pensi che il tuo attuale ruolo ti stia un po’ stretto e cerchi nuove sfide, guardati intorno, le possibilità ci sono, basta cercarle e mettersi in gioco.

Da PA/Ea a…?

Tutti i giorni i manager si trovano a dover affrontare un’agenda fitta di impegni, ricevono migliaia di e-mail, rispondono a chiamate a tutte le ore del giorno e a volte anche di notte, senza contare le conference call.

Come fanno a sopravvivere? Ma è ovvio! Hanno una fantastica PA/EA che li aiuta ad arrivare alla fine della giornata superando con disinvoltura tutti i problemi.

Le PA/EA sono il cuore pulsante delle organizzazioni, lavorano fianco a fianco con i manager svolgendo un ruolo di supporto chiave, garantendo la buona riuscita delle attività.

Hanno sempre più responsabilità e sono sempre più coinvolte in tutti i livelli del business delle aziende dove operano.

A volte può anche accadere che una PA/EA riesca a progredire all'interno di un settore o di un'area specifica e riesca ad ottenere un ruolo più specializzato, per esempio nell’ambito della comunicazione se ha ottime capacità di relazione, nello sviluppo del sito dell’azienda se le interessano le nuove tecnologie, nelle risorse umane o nella formazione se il suo focus è sulle persone.

La capacità di gestire la complessa vita di un manager può portarla a diventare un project manger se si fa notare per particolari doti organizzative, un team leader se ci sono gruppi di persone da organizzare.

Le possibilità sono numerose, basta averne voglia.

Interessante? Qui di seguito sono alcune idee su come fare.

La preparazione è fondamentale

Districarsi in molti compiti diversi è oggettivamente difficile, non tutti sono capaci di farlo in modo efficiente, quindi essere in grado di organizzare e coordinare più di una attività è un plus.

Con l'introduzione della tecnologia moderna, il ruolo di PA/ EA non è più solamente la gestione dell’agenda e dei documenti da preparare per le riunioni del manager, ma può diventare proprio uno di quelli elencati in precedenza.

Ma è necessario prepararsi a questi ruoli, non ci si può improvvisare.

Si sa che le PA/EA sono eccellenti a lavorare sotto pressione, imperturbabili in una situazione tesa e perfettamente in grado di lavorare bene con gli altri. Esperte di comunicazione a tutti i livelli, sanno che essere un giocatore di squadra è altrettanto essenziale.

La perfetta PA/EA conosce tutte le funzioni di Outlook per gestire al meglio le riunioni del manager, è in grado di mettere insieme una presentazione di PowerPoint, maneggia con disinvoltura tabelle Pivot in Excel, sa organizzare una videoconferenza, accendere un proiettore in sala riunioni e a volte è un IT manager improvvisato, è un’esperta di social media, ed è la persona cui rivolgersi quando nessun altro riesce ad aiutarvi.

La formazione è la chiave

Ma tutte queste capacità spesso non bastano a fare il salto di qualità, ci vuole qualcosa in più.

Questo “qualcosa in più” ve lo può fornire solo la formazione continua. In un mondo del lavoro che è in continua evoluzione è necessario stare al passo ed essere sempre aggiornate  e pronte  a nuove sfide. Attraverso la formazione è possibile non solo aggiornarsi, ma anche acquisire nuove competenze, mantenendo il cervello allenato ad apprendere.

Sia che restiate nella vostra azienda, sia che decidiate di cambiare, il fatto di avere appreso nuove e diverse competenze non può che rendervi più interessanti e farvi ottenere un ruolo che ambivate da tempo e anche uno stipendio migliore.

La Certificazione M.A.C.  attesta che la Manager Assistant certificata ha un’eccellente capacità di gestire e organizzare una segreteria di direzione, una preparazione adeguata nell’utilizzo del pacchetto Microsoft Office, buone basi di amministrazione e contabilità e in modo particolare, che è perfettamente in grado di comunicare ed interfacciarsi con tutti i livelli dell’organizzazione di cui fa parte, come alter ego del suo manager, creando e coltivando ottime relazioni con i superiori e i colleghi.
L’esame d’ingresso al Programma M.A.C. è basato sulle conoscenze e competenze acquisite dalla Manager Assistant nella carriera professionale; durante il percorso le Manager Assistant seguono corsi di formazione per migliorare le aree in cui sentono di dover crescere e alla fine, sostengono un ultimo esame che certifica quello che hanno appreso e gli obiettivi raggiunti.

Some training suggestions for assistants - Practically Perfect PA

Quite often I am asked which courses I would recommend for assistants that are just starting in the profession and want to undertake some training to increase their skills and help them move up the career ladder.
I always say that it is extremely important for assistants to attend training courses throughout the year. We have a shed load of skills that have to be kept up to date so that we can do our job effectively. We have to be experts at IT, we have to have great people skills and we have to be assertive and confident to be able to handle all of the daily tasks asked of us! Not many other professions have that variety of skills. All of this means that we must, must, must attend training courses. I wrote a post about this a few months ago called Invest in yourself which turned into a bit rant because the big problem is that a lot of organisations don’t realise how important training their support staff is! Another factor is that they simply don’t have the budget for it, especially if they have staff that need expensive professional qualifications and CPD programmes. Of course there are also the boss’s that want their assistants in the office every day and don’t encourage them to attend any training.
So what training courses would I recommend for all of these instances? Firstly, let’s have a look at a few training options for those that do not want to spend too much of their company’s money!

Internal training and graduate programmes

If your company has an internal training programme which could be online do take the time to have a look at the options. There should be some training that relates to you directly, will improve your skills or will help you learn more about the business. Does your organisation have a graduate programme? If it does then ask to attend their initial training sessions on the industry. I did this when I first started working in insurance. There was so much jargon and codes of conduct, especially when working with Lloyd’s of London that I asked to attend an ‘Introduction to Insurance’ course which was in-house and specifically for the new graduates. I was the only EA on the course but it was so helpful and didn’t cost my company a penny.

Exhibition and trade shows

There are quite a few exhibitions and trade shows throughout the year that you can attend for free such as The Office* Show, The ExecSec Summit or The Office Management and PA show. You can meet with potential suppliers but also attend free training sessions. There are also trade shows abroad that will pay for your flights and accommodation if you can qualify for their hosted buyer schemes. EIBTM Barcelona is coming up in November and there are still hosted buyer places available. Other than you being out of the office for a day or two your company really doesn’t have much to lose.

Networking Groups

There are PA networking groups springing up all over the place these days, which is absolutely brilliant! Executive Secretary Magazine has a good up to date list on their website. If there is a networking group in your area I would highly recommend you join and go along to their events, most of which are outside of working hours.
There are also lots of ways that assistants can train at their desk, here is a quick list of possible resources:
  • Webinars
  • LinkedIn Groups and articles
  • Business podcasts
  • Blogs (like this one!)
  • Professional publications such as Olé Magazine or PA Life
  • Free online tutorials
  • Books!
I have complied a list of books for assistants which you can buy on Amazon, there are some great resources on the site so do check it out!
If you are lucky enough to work for a company that supports your career development there are some fantastic courses you can take that will really help you pick up new skills and cement the ones you already have.

IT training

I would always recommend that you train until your IT skills are advanced. We spend so much time on (usually) Microsoft software so this should be something we are very skilled at. Also assistants are constantly asked by their colleagues for help on IT software so our managers should be fully aware that we need to have advance knowledge and this knowledge must then be kept up to date.
Most organisations that I have worked for offer Word, Excel and Powerpoint courses. Take these courses until you have completed each stage. Even if you feel you are already an expert it is worth taking refresher courses every now and again because the packages do change and are updated fairly often.
Outlook (or whatever email / diary system you use) is a fundamental tool for assistants. It is like a painter and his brush, or a footballer and his ball… Erm, hopefully you get my point! We can’t do our job unless we know Outlook inside out and back to front. This we must be advanced in! If you don’t feel that you are advance in Outlook training is essential!

Training for tasks

Once you have your IT skills up to a high standard then I would suggest taking some training courses for the specific tasks you are ask to do at work. For example minute taking, speed typing or preparing and writing reports. There are also tasks that assistants take on because the company doesn’t have a specific department or member of staff, such as:
  • events management
  • marketing
  • business administration
  • office management
  • social media management
I think having some training on these tasks will really help you perform them to a high professional standard and will give your confidence a boost. If you think about it most of these tasks are professions in their own right so we really should be taking training courses to ensure we have the skills to actually do the job!

Personal Development

Over the years I have taken courses on assertiveness, confidence at work and how to influence people. Some were helpful some were not. I find some of the courses that are offered to assistants a bit hit or miss to be honest. But if you are lacking in certain areas and it is holding you back at work then it is worth finding a training course that will help your personal development. I would just say do some research so that you go on a course with real benefits! I did go on an internal course which was an introduction to Neuro Linguistic Programming. It was really useful and I would recommend assistants take an introduction to NLP so that they can perform at the same level as their manager.

To complete a diploma or not to complete a diploma?

Well I think it depends on a few things. Firstly do you already have a degree? Are you struggling to move from say a receptionist to an assistant? Is your company willing to pay for the course and if so what do they want in return?
I ask these questions because of my own experience. I got my degree and walked straight into an administrators role and then worked my way up to a personal assistant and then executive assistant. I didn’t need to have a qualification in the profession itself to get in the door and once I was in the profession my experience and working hard led me to better roles. I left university 10 years ago when the economy was a lot more buoyant so it may be really different now. Perhaps a qualification in the profession will help assistants stand out from the crowd. It will definitely show that they are serious about wanting to be an assistant.
I also think it is really important for any profession to have academic qualifications and accreditation programmes because it helps that profession be taken more seriously. So yes, I say if the opportunity arises for you to take a diploma then you should, especially if your organisation will pay for it. Although do really think about what your company wants in return for the course, normally they want you to agree to stay at that firm for a number of years or you have to pay back the course fees. If you have to pay for the diploma yourself think about all of the other courses you can take first that will help advance the skill set required to be a great assistant. If you already have a degree I think you should look at business courses such as a MBA rather than a diploma in administration. This would be worth it’s weight in gold for any assistant and their executive.

This week's activities have been led predominantly with conversations around next year's International Year of the Secretary. We are going to work really hard next year to change the world of the Assistant across the world but we need your help. We had a flood of offers to get involved from individuals, businesses, associations and trainers following our request for volunteers last week.
So this week has seen exciting meetings with the hub in South Africa, with associations all over the world and with some of the world's top trainers and training companies. WHEN IN ROME

Well not Rome actually - Milan, but you get the idea. It was a privilege to spend time with the MACSE Assistants in Milan last weekend. As part of their annual congress, I was there to present those that have invested in their own personal development and completed their qualifications, with their well deserved diplomas. Italy is one of many countries that I work with where the Assistants need to work really hard for investment in their training and for recognition. With a statistic of only 48% of women working in Italy, the battle to change the perception of the role is more difficult for our Italian colleagues than many of the rest of us.
I applaud the Association members' commitment to their own development. When I see Assistants in countries with the tide against them, fighting so hard to get the education and recognition they deserve it serves as a reminder to those of us that get it offered to us on a plate that it is not something to be taken for granted. Grab the opportunity with both hands!

A slightly different slant this week for you. Here are four websites, all with amazing free resources for Assistants.

The first is from the wonderful Chrissy Scivicque (pronounced “Civic”) is an award-winning writer, certified career coach and experienced corporate trainer. I met Chrissy in the States recently and was hugely impressed with not only her breadth of knowledge but with her passion for what she does. Her website - Eat Your Career is full of exceptional content. Grab free worksheets, audio sessions, video trainings and more for the sweet price of zip, zero, zilch. No catch. Free. Really.

Our second resource this week is www.allthingsadmin.com. If you follow our weekly Twitter chat, #adminchat on a weekly basis, or are a subscriber to the magazine, you will already know and love our Queen of Procedures, Julie Perrine. Her website is a mine of information and her templates for everything from an administrative procedures binder to travel procedures to a job responsibilities template are absolutely second to none.
Thirdly, we'd like to introduce you to www.bookboon.com where you can download FREE eBooks and textbooks.

In 2004, while studying for their B.Sc. and M.Sc. at Copenhagen Business School, Kristian Buus Madsen and his brother Thomas came up with the idea of free textbooks. They are second generation publishers and were convinced it should be possible to offer free education material to both students and business professionals. This is where bookboon.com came into being: the concept was launched in Denmark in 2005 and the global website was launched in 2008.
Bookboon's eBooks help the reader become more efficient in his or her workplace. The books cover business relevant themes like persuasive communication, time management, project management, and many other areas within personal development, as well as practical books on Microsoft Office, social media. Adobe and similar.

The books are about 50 pages long and they are tailored to be read in two or three hours, which is the available time a reader has on a flight, a train journey, an evening in a hotel or at home after the kids are put to bed. The books have a hands-on approach: you can read them today and use them tomorrow.

And finally, new kid on the block http://pa-prive.com. We have been really impressed by the quality of the articles and information coming out of this new resource. They seem to be doing a great balancing act with aggregating interesting information and producing their own original posts.

Dato che non è possibile controllare la veridicità della mancanza di reddito così come della eventuale ripresa dell’attività lavorativa, richiamiamo le associate al rispetto del Codice Deontologico sottoscritto all’atto dell’iscrizione e pubblicato sul sito.
Qualora un’associata venisse meno a quanto sopra verrà immediatamente espulsa.

L'importanza della formazione continua.


Stiamo vivendo in una fase storica in cui ogni attività lavorativa richiede un sempre più rilevante contenuto intellettuale, un momento in cui la nostra crescita professionale richiede conoscenze e capacità, sia intese sia come hard skill che come soft skill, nuove e aggiornate.

Il continuo miglioramento delle conoscenze linguistiche, così come l’apprendimento di corrette modalità di comunicazione sono due esempi in cui, noi Manager Assistant, dobbiamo assolutamente  eccellere.

Oggi, molto di più che negli anni passati ci viene richiesto, oltre al “saper fare”, di "imparare a conoscere", "imparare ad essere" e di "imparare a vivere insieme agli altri".
E’ quindi evidente che è necessario che ci aiutiamo con delle attività formative e d’istruzione, come il percorso di studi classico, così come tramite interventi continui, flessibili e personalizzati di formazione.

La formazione professionale negli ultimi anni sta quindi assumendo un’importanza notevole, sia per le aziende, ma soprattutto per chi cerca lavoro, perchè offre la possibilità di apprendere nuove competenze, utili ai lavoratori, così come alle aziende.

L’importanza della formazione sta proprio nell’opportunità che offre: competenze che servono a migliorare la nostra situazione lavorativa. Le imprese oggi, infatti, sono alla ricerca di profili qualificati e specializzati e per questo motivo è strategicamente rilevante per rispondere alle nuove richieste del mercato, migliorare competenze e capacità per anticipare gli stessi cambiamenti e stare al passo con il mondo che cambia a velocità vertiginosa.

Lo strumento per sviluppare esperienza e apprendimento sono proprio i corsi di formazione professionale, che rendono possibile sia un orientamento al lavoro, quando ci si affaccia a ad una prima esperienza, sia l’acquisizione di capacità e abilità professionali in grado di soddisfare la nuova realtà lavorativa che ci circonda e con cui facciamo fatica a stare al passo.

In un contesto molto orientato alla competizione, anche con l’estero, non dimentichiamolo, in cui contano sempre di piu' le competenze specifiche e le capacità gestionali e relazionali, la formazione diventa uno strumento indispensabile di crescita professionale permanente.

Oggi stiamo imparando che il lavoro è sempre meno una promessa certa per noi, il contratto a tempo indeterminato un miraggio sempre più lontano, mentre la formazione, intesa come formazione lungo tutto l’arco della vita, puo' offrire nuovi modelli di riferimento e nuove opportunita' per i progetti di vita e di lavoro di ciascuna di noi.

OBIETTIVO
Manager Assistant - Advanced program è un percorso di specializzazione pensato per chi, all'interno di realtà aziendali, studi professionali o nella Pubblica amministrazione, ricopra il ruolo di Assistente di Direzione o di Office Manager da almeno quattro anni.
Si tratta in effetti di un profilo professionale sempre più evoluto dal punto di vista delle competenze richieste e delle mansioni ad esso affidate.
Il Master si pone come obiettivo l'approfondimento teorico e pratico delle competenze-chiave legate al ruolo: il miglioramento delle abilità relazionali e di negoziazione, la specializzazione in tema di Time management e gestione dello stress, la presa in esame di temi cruciali come l'organizzazione aziendale, la suddivisione delle cariche e responsabilità nel consiglio direttivo e di amministrazione.

VI Modulo: organizzare un evento aziendale: dagli aspetti pratici al cerimoniale
VII Modulo: l'assistente di direzione nelle aziende multiculturali
VIII Modulo: testimonianze a confronto


DESTINATARI
Assitenti di Direzione e Office Manager che abbiano maturato un'esperienza lavorativa almeno quadriennale che intendano acquisire una specializzazione mirata per accrescere le proprie competenze in vista di opportunità di crescita professionale.

ASSEGNAZIONE BORSA DI STUDIO
24 ORE Formazione ed Eventi mette a disposizione una borsa di studio a copertura totale del costo di partecipazione per un/una giovane interessato/a a svolgere durante il Master di Specializzazione incarichi di tutorship ( gestione operativa dell'aula e monitoraggio sull'andamento delle lezioni ).
Il candidato ideale è un/una laureato/a, in possesso di buone capacità organizzative e doti relazionali. Costituirà titolo preferenziale l'avere maturato esperienze nel settore.
